How to send an Email Blast (aka Broadcast Email)
You need to have permission to edit your clubs Follow-Up in order to send out a broadcast email.There are many options for you to send out a broadcast mail. for example you have the option to send to your leads in just one type of your leads lifecycle i.e. all people on a Free Trail to sending to all your leads or memebrs. So your first steep is to define who you want to send the email to then select the correct email to edit in the Follow-Up. All the emails start with "Email All Interested or current......Leads or members etc and are set to off.
To send an Email Blast:
- Select the email you wish to send (ie: Email All Interested Membership Leads) and click Edit
- Add your email content (see below for explanations)
- When you are ready to send this email, change Send Tonight to Yes. This will send this email tonight at about midnight.
- Click Save
**Don’t forget to send yourself a Test Email to verify your changes – see below**
Email Explanations
From Name and From Email Address
- The recipient will see this name and email address in their inbox as the sender’s name
- Any replies to this email, will be sent to the address listed in this field
- Options include: Club information, lead/member owner information, or enter other information
- Owner = The Lead Owner (for lead emails) or the Member Retention owner (for member emails)
Subject
This will appear as the subject line of the email
Send Tonight
Yes= This email will be sent tonight at about midnight
No= This email is inactive and will not be sent to anyone
Template
Choose the template you want to use for this email. See next section on Email Templates.
Send Test Email
Send this email to yourself or a co-worker to proof before it is sent to leads or members. This is the best way to verify that the email will appear the way you intended!
- Save the email first and then re-open it by clicking Edit
- In the Send Test Email field, enter the email address of where you want to send this test
- Click Send
Email Content and Merge Fields
Merge Fields allow you to personalize emails using the lead or member’s first name, staff names and phone numbers, etc. Enter (or edit) content in the white box.
To add a Merge Field:
- Put your cursor where you want the field to go
- Highlight the Merge Field on the right
- Click Insert
To copy and paste text from a Word document:
- Copy text from the other source (ie: a Word Document)
- Select the Paste from Word icon
- Paste your content
- Click OK
- To create and edit a broadcast email: Select the email you wish to change and click Edit To add a new email: Click New Email from the Follow-‐Up Links menu on the left
- Make the necessary changes (see below for explanations)
- Click Save
