HOW TO SEARCH
Click in the Search bar on the left side of the screen above Quick Links
Begin entering in a first name, last name, or even phone number
Use the blue bar to search through Leads, Agendas, Members or Sales
ICONS: Lead lifecycle icons can also be found at the bottom of the Opportunities screen
Add a New Lead
Use the Quick Links Menu
-If an existing member referred this lead, use Referral Lead
-For new phone inquiries, use Telephone Lead
-For all others, use New Lead
Book an Appointment
Find the Lead or Member (see Add a New Lead or Search). Use the Actions button to Schedule Appt
Complete an Appointment
If a lead joins directly from your tour, you can use the Action button and select Make Sale.
For all other appointments:
From the Agenda Tab, move your cursor over the Action button and click Showed-Up
Enter notes then click Save
Review What’s Next in the Follow-Up box then click Continue
Reschedule an Activity (ie: Call, Tour, Task)
From the Agenda, use the Action button to click Reschedule
For calls/tasks: Click the new due date then click Reschedule.
For appts: Select the new date/time then click Reschedule.
Move Someone to a Trial: Find the lead, click on their name, and select Move to Trial at the bottom of the contact screen.
Mark Someone as Not Interested: Find the lead, click on their name, and select Not Interested at the bottom of the contact screen.
Return a Lead to Interested Status: If someone comes back and decides they are interested again, find the lead, click on their name, and select Interested at the bottom of the contact screen.
Drop In Tour (An existing lead that comes in for a tour without an appointment)
Find the lead, click on their name, and check Mark as Drop In
Make a Sale
Click Make Sale (see places to Make Sale in following section)
Enter any additional contact information and click Make Sale
Select the Retention Follow-Up Member Owner using the drop down box and Click Next
Book Orientation then Click Schedule or Click Skip
Add PT Lead or Sell PT or click Skip
Add Referral Lead or Skip
Click Finished
Places to find Make Sale:
From the Agenda tab (for existing appointments)
From the Search bar
From the Opportunities Tab
From the Follow-Up box (after completing a call, appointment or task)
Expire a Member:
Find the member under Search or the Members Tab (make sure it has the blue member icon!)
Click on the members name
Click Expire Member
Calendar Views
Calendar views default to show All Appointments. To switch this view to see All Appointments, click on All Appts in the top right and then click Open Appts.
To Set Your Schedule
Select the Calendar Tab, then the Set Schedule Tab Click on the day to add availability or click an existing green block to edit. Use arrows to change times and then click Save.
To copy an existing week’s schedule: Click Copy Week, use the arrow buttons to move to the desired week to which you wish to paste the schedule, click Paste Week
Block Your Calendar
Go to the Calendar tab and make sure My Calendar is selected
Click on the date and starting time you wish to block
Select Block My Calendar as the Appointment Type
