2. New Features

NOTE: The following features only apply to US clubs which have the InTouch Follow-Up text messaging subscription. If you are a US club who wants to start gathering lead or member consent now for potential use of our text messaging features in the future contact Kristen Maine (kmaine@intouchfollowup.com or 206.734.4738) to enable text messaging.

2.1 Club Administrator Controlled Text Opt-In Settings For New Leads

Club Administrators now have the ability to decide if they want to automatically send text opt-in requests to all new leads, when the new leads are added to InTouch Follow-Up. This new feature gives Club Administrators control of when text opt-in requests are sent to leads.

How to use this feature:

  1. Go to the Admin tab > Club options to set your club text opt-in settings
  2. Click on the Edit button at the bottom of the page

  3. Set your club's text opt-in request settings:
    1. Select "Yes" under "Send opt-in text to all new leads" to have text opt-in requests automatically sent to all new leads
      OR
    2. Select "No" under "Send opt-in text to all new leads" so that by default all new leads added to InTouch Follow-Up will not have a text opt-in request sent to them. With this option, all new leads will automatically be opted-out of automated text messages. You will still be able to send one-on-one text messages to these leads and attempt to get an opt-in from them the first time an appointment reminder or broadcast text message is sent to them; however the lead will not receive any automated or broadcast text messages until they give you permission.
  4. Click Save

2.2 Staff Option to Send/Not Send Text Opt-In Requests to New Leads

With this new feature, staff have the ability to decide if they want to automatically send a text opt-in request to new leads when they are adding them to InTouch Follow-Up or not. For example, if a lead has already expressed that they are not interested in receiving text messages from your club, staff now have the option to override the club admin setting above to turn off the text opt-in request.

How to use this feature:

  1. Add a new lead in InTouch Follow-Up
  2. Enter the lead information including mobile phone number
  3. Ask the lead if he/she would like to receive text messages from your club
  4. Check or uncheck the "Send opt-in text" box as needed (note the default setting for this check box is set in the club admin feature described above)
  5. Save the lead


By not sending a text opt-in request to a new lead when they are added to InTouch Follow-Up, the lead will be opted-out of automated text messages. You will still be able to send one-on-one text messages to these leads and attempt to get an opt-in from them the first time an appointment reminder or broadcast text message is sent to them; however the lead will not receive any automated or broadcast text messages until they give you permission.

Note: 
  • If your Club Administrator has set InTouch Follow-Up to automatically send text opt-in requests to all new new leads, the "Send opt-in text" box will, by default, be checked on the lead form.
  • If your Club Administrator has set InTouch Follow-Up to not send text opt-in requests to all new leads automatically, the "Send opt-in text" box will, by default, be unchecked on the lead form.

3. Enhancements

3.1 Optional Text Opt-In Requests for Broadcast Text Messages

In Version 5.23 of InTouch Follow-Up we released a feature that would automatically send text opt-in requests to leads and members who had not opted-in to your text messages when they were selected as a target for a broadcast text message. Based on your feedback, we have enhanced this feature by giving staff the option to decide if they want to send text opt-in requests to leads or members before sending the broadcast text message or not.

How to use this feature:

  1. Go to the Follow-Up tab and select the group you want to send a broadcast text message to: Membership leads, Personal Training leads or Members. For Membership leads, also select your lifecycle group at the bottom (i.e.: No Club Visit).
  2. Click the edit button next to the "Text All Interested Leads" option

  3. Enter your message. Merge field options are on the right.
  4. Select your date range filter. Based on your filter we show you two numbers:

    1. The number of leads/members who have already opted in to text messages from you and will be sent the broadcast text message immediately (see note 2 below)
    2. The number of leads and members who have not previously been sent a text opt-in request (see note 2 below
  5. Decide if you want to send text opt-in requests to the people in the second group before the broadcast text message is sent to them by checking/unchecking the "Text them to opt-in?" box
    1. Note: If you do not send text opt-in requests to people who have not previously been sent a request, the broadcast message will also not be sent to them
    2. Note: If you do send text opt-in requests to people who have not previously been sent a request, the opt-in text will be sent first and the broadcast message will only be sent to them based on their response (see Note 1 below).
  6. Select when to send your message (Texts will send within approximately 90 minutes from now or within 90 minutes of the Date/Time you select)

  7. Save

Note 1: After sending text opt-in requests to leads/members prior to sending the broadcast text message:

  • If the lead or member texts back START they will receive a confirmation message telling them they are subscribed to text messages from your club and they will receive all future text messages you send them (note if they reply START on the same day that your broadcast message was scheduled they will now receive the broadcast text)
  • If the lead or member texts back STOP they will immediately be unsubscribed from text messages and will not receive any more text messages from you until they opt back in
  • If the lead or member does not reply they will be unsubscribed from your automated text messages but can still receive one-on-one text conversations from your club

Note 2: The number of leads shown in each category is an estimate at the time the broadcast is created, If you schedule your broadcast text to send later the number of leads who meet this target filter may have changed and the number of leads opted in may have changed. The number of texts sent will be counted at the time of delivery and reported on your text message reports.
