InTouch Follow-Up Icons


IconNameDescription

Open Appointment

Any type of appointment (i.e.: Tour, Orientation, PT Session, etc) that has been scheduled, but not yet confirmed, checked-in, showed-up or cancelled. It's status is Open.

Confirmed Appointment

Any type of appointment that has been marked as confirmed
Checked In Appointment

Any type of appointment that has checked in. This means the lead has checked in through the kiosk and has not yet been marked as "Take on Tour".

This icon is only seen in clubs using the InTouch Welcome Kiosk.

Completed AppointmentAny type of appointment that has been completed. A completed appointment means that the person showed-up.
Cancelled AppointmentAny type of appointment that has been marked as cancelled. Canceling an appointment requires the user to enter in a note or reason why - this note is recored in the lead/member's history.
Open CallA scheduled phone call to be made to the lead or member listed next to the icon. This call is still Open, meaning it has not been completed or cancelled.
Completed CallA phone call that has been completed. This means the call was marked as Answered or Left Message. The Call Later option keeps the call in an Open status.
Cancelled CallA phone call that has been marked as cancelled. It could be cancelled manually or by the InTouch system. Canceling a calls requires the user to enter in a note or reason why - this note is recored in the lead/member's history.
Open TaskAny manual reminder you want to set. Tasks must be associated to a lead or member. For example, you might set a task if you need to leave a pass at the front desk for a lead on a certain day.
Completed TaskA task that has been marked as completed.
Cancelled TaskA task that has been marked as cancelled. Canceling a task requires the user to enter in a note or reason why - this note is recored in the lead/member's history.
Email

An email listed under Follow-Up. This email could represent an email blast or automated "Day X" email.

An email with a status of "ON" is considered active and is scheduled to be sent at the appropriate time. A status of "OFF" is considered inactive and are not scheduled to be sent.

Text MessageAn SMS Text Message. Under the Follow-Up tab, this text message could represent a text blast, an automated "Day X" text, or an appointment Alert. On the main screen, this text message icon represents incoming 1-to-1 text messages. A red circle with a number added to an icon represents unread incoming text messages. Please note that text message features vary by country.

No Club Visit

A membership lead that is currently in the No Club Visit lifecycle group. This means that the lead has not yet visited your club.

For clubs using the InTouch Welcome Kiosk, leads that have checked in through the kiosk will remain in this lifecycle group until staff mark the lead as "Take on Tour" through the Kiosk Club Tours queue.

Visited ClubA membership lead that is currently in the Visited Club lifecycle group. This means that the lead has visited your club, but has not yet started a trial and has not yet joined.
TrialA membership lead that is currently in the current Trial lifecycle group. This means that the lead has been "Moved to Trial" and today's date is currently the start date, middle or end date of that Trial.
Expired TrialA membership lead that is currently in the Expired Trial lifecycle group. This means that the end date for the lead's membership trial is in the past.
Not InterestedA membership or personal training lead that has been marked as Not Interested. When marking a lead as Not Interested, the user is required to select a reason why - this note is recored in the lead's history.

Sale

A membership sale. The Follow-Up for membership sales is called Referral Sales Follow-Up as it is the sales staff's reminder to ask their new sale for referrals when they follow-up with them.
Drop-In Workout

A person that has checked in through the kiosk that is not a lead (like an out of town guest). This icon is only seen in clubs using the InTouch Welcome Kiosk that allow the Drop-In Workout feature. Drop-In Workouts are not included in report numbers, the Guest Log, or even the Search feature. It is simply a way to have them sign your Guest Waiver electronically without their information interfering with your InTouch Follow-Up application.

LeadThis icon indicates that this person is a lead. This is typically seen when someone books a non-lead type of appointment with a lead. For example, if only members should be booked into a "Member Follow-Up Meeting" and you book a lead for that appt type, this icon will appear on your Agenda tab instead of the regular lifecycle icon. It also means that that appointment will NOT be counted as a sales appointment.
PT LeadA Personal Training lead. (This icon was introduced in Release Version 6.7.0 on July 29, 2014)
PT ClientA Personal Training client or personal training sale record
MemberAn active member
Expired MemberA member that has been marked as Expired.
DeletedA record that has been marked as deleted. Deleted records are removed from report numbers and data, but remain under Opportunities>Memberships>Deleted as a permanent record.
HistoryThis shows the history of the lead or member. Move your cursor over the icon for a pop-up box with all notes and records related to that lead or member.
More InfoThis icon means more information is available. Move your cursor over the icon for a pop-up box that will give you more information about the item the icon is beside.
WarningA caution. This usually means that there is no future scheduled activity for that lead or member.
